The key responsibilities of this role will include but not limited to:-

Conducting stock audits and reconciliations.
Sorting out expiries and disposing them according to PPB requirement.
Reporting on daily production and/or problems with equipment/processes concerning customer agency.
Advising procurement officer and departments on the special items and alternative.
Collecting invoices and handing them to accounts for payment.
Training of new staff
Ensuring proper store organization, labeling and arrangement.
Ensure Superior Customer Experience to all internal and external clients

Qualifications and Skills

Diploma in Procurement and Supplies
At least 2 years relevant experience

German Agro Action / Welthungerhilfe is an International NGO operating in various Counties in Kenya and is currently looking for a qualified candidate to fill the position of Deputy Country Representative for a fixed term. 

The position is Nairobi based.

To qualify as a Deputy Country Representative the candidate must poses the following:-
  • Relevant experience in development cooperation and humanitarian aid operations in developing countries,
  • Proven over 6 years of experience in management or leadership positions, including financial and HR management in a multi-cultural working environment,
  • Advanced University degree (Masters) preferably International Affairs, political or Social Sciences or related fields
  • Experience in working with local organizations and authorities, UN agencies and international NGOs,
  • Experience in fundraising for international institutional agencies and managing budgets with diverse donor base,
  • A clear and sound understanding of international development (policy and programme), especially in the water, sanitation and hygiene (WASH) projects,
  • Good command of both German and English as working languages,
  • Proficiency with Microsoft Word, Excel, PowerPoint, Access and excellent knowledge of SAP and WINPACCS software is a prerequisite

Job Objective:
  • Our client is seeking to engage a dynamic Head of Operations who will have the vision and leadership ability to take the department into a new and exciting phase of its development as part of the senior management team.

Primary Responsibilities:

The head of operations will:    

Leadership:
  • Provide effective leadership to the Department in fulfilling its mission as determined by the Board.
  • Ensure that the Board is fully engaged in all strategic decisions which affect eh Department and implement the decisions of the Board.
  • As the Accounting Officer for the Department, ensure that the Board is advised if its actions or policies are compatible with the financial plans, with the Department’s financial regulations and procedures.
  • Organize, direct and manage the Department and lead the staff, providing inspiring and motivating leadership to the operations team.
Policies:
  • Lead and contribute to the development, implementation and monitoring of Departments plans, procedures and policies in line with the department’s strategic plan.
  • Ensure the effective review of policies and procedures which involve the Board, staff and other Department stakeholders.
Staff:
  • Provide direction and management of the department and leadership of the staff
  • Provide management and leadership of staff which will ensure that the Department discharges all of its responsibilities and that good labor relations are maintained and developed.
  • Promote discipline and good conduct and encourage commitment of staff, leading by example.
  • Contribute to the training & development of staff to ensure the effective implementations of policies and systems agreed by the senior management team.
Finance and Management:
  • Prepare annual estimates of expenditure for consideration and approval by the Board and manage the budget and resources within the estimates approved by the Board.
  • Demonstrate prudent and effective budgetary management.
  • Ensure that there is proper and effective operation of financial, planning and management controls.
  • Ensure the use of information systems which provide robust data to support the management of the whole department.
Management and Quality:
  • Co-operate with colleagues in the senior management team to ensure that the department offers the highest quality service to its clients and foster a culture of excellence and innovation.
  • Directly line-manage and monitor the work of the operations’ management team.
  • Develop an ethos of teamwork throughout the Department.

  • Ensure that appropriate targets are set and agreed throughout the department, that performance against them is monitored and that the department meets or exceeds them.

Partnership and Communications:
  • Initiate development opportunities for the department, including business and community partnerships.

Professional standards:

Experience:

Internal Audit Assistant.

The holder of this position will report to the Internal Auditor.

Key Responsibilities:

The following are the key responsibilities, which are focused on independently conducting Audit assignments:
  • Execute audit plan and prepare reports on current best practices and benchmarks on risk management;
  • Implement internal audit strategies, policies and procedures;
  • Collect audit evidence and verify the existence and safety of the company’s assets;
  • Undertake risk assessment and documentation of Company risk profile;
  • Carry out periodic audit reviews/assessment to assess the effectiveness of risk management and the adequacy of internal controls;
  • Document results of audit fieldwork and drafting of internal audit reports; and
  • Carry out special audits or investigations as may be required from time to time.
Qualifications and Competence
  • Business related degree preferably in Accounting/Finance
  • Certified Public Accountant Part ll or Association of Chartered Certified Accountants (ACCA) Part II
  • Proficiency in computer applications with exposure to use of ERP and Computer Aided Audit Techniques (CAATS);
  • Certified Internal Auditor (CIA) qualifications an added advantage ;
  • Results oriented with at least two years(2) of relevant experience preferably in FMCG;
  • Team player with good communication skills with the ability to work under pressure;
  • Possess report writing and presentation skills;
